SCHOOL FIELD TRIPS

It is important for the CVRD to be aware of school group visits to our parks and trails in order to protect sensitive ecosystems and to ensure the capacity of park facilities meet the requirements of the group. In CVRD parks that have caretakers (Bright Angel Park and Glenora Trails Head Park), sufficient notice must be given to allow for the preparation of the park facilities. 

HOW TO REQUEST A SCHOOL FIELD TRIP

All school groups planning a field trip to a CVRD park or trail must receive prior written approval from the CVRD. Please review the information below to determine what type of request to submit:

Request with a Picnic Shelter Reservation

  • submit your request through our online booking system here, along with payment for the picnic shelter use;
  • CVRD staff will review your online request to ensure there are no conflicts with other groups or events;
  • once reviewed, CVRD staff will confirm whether your school trip request has been approved;
  • if approved, a confirmation email will be provided, along with a picnic shelter rental contract.

Request without a Picnic Shelter Reservation

  • submit a School Group Field Trip Request Form to the CVRD Parks & Trails Division
    (by email, mail or in-person at 175 Ingram Street, Duncan, BC, V9L 1N8);
  • CVRD staff will review your request to ensure there are no conflicts with other groups or events;
  • once reviewed, CVRD staff will confirm whether your school trip request has been approved;
  • if approved, a school field trip permit will be provided.

ADDITIONAL INFORMATION

It is recommended that school groups submit their application to the Parks & Trails Division no less than 30 days before the proposed field trip.  Please note that last minute requests may not be accommodated.

In addition, school group field trip requests may be denied if: 

  • there are already other bookings for the park on the same date / time;
  • the park visitor capacity will be exceeded by the proposed field trip; or 
  • insufficient notice is given.

INSURANCE

School groups must also provide proof of comprehensive general liability insurance protecting the Cowichan Valley Regional District against liability for bodily injury, death or property damage arising out of the visit.
